ICALP 2023 General Terms and Conditions

Registration Information

ICALP 2023 has joined http://safetoc.org. Participants have to follow the ICALP code of conduct (see below) and must agree to these conditions by registration. All participants must register and are encouraged to do so by May 15, 2023, 23:59 CET, to benefit from the early registration fees. Travel and hotel accommodation costs are not included in the registration fee and are the responsibility of each participant.

The registration fees of:

  • ICALP 2023 (only)” include for all cases (regular or student participant): get-together with drinks & food (July 10, 2023), conference attendance (July 11-14, 2023), lunches and refreshment breaks (July 11-14, 2023), conference material, bus transfer + city tour + welcome reception at historical City Hall (July 11, 2023), barbecue at the venue site (July 12, 2023), bus transfer + conference dinner (July 13, 2023), and EATCS membership (see below).
  • “ICALP 2023 Workshops (only)” include for all cases (regular or student participant): workshop attendance (July 10, 2023), lunch and refreshment breaks (July 10, 2023), get-together with drinks & food (July 10, 2023), and conference material.
  • ICALP 2023 & Workshops” covers ALL the above for all cases (regular or student participant).

On-site registration at the late rate is possible during ICALP 2023 by credit card only (VISA, MASTERCARD or AMEX only).


The “ICALP 2023” and “ICALP 2023 & Workshops” registration fees include 40 EUR for one year membership with EATCS (two years for students). The ICALP 2023 Organizing Committee will forward your data to the EATCS for administrative processing. The current benefits of an EATCS membership are listed at the EATCS website.


** Student status

The student status is reserved to those without a PhD degree by the time of the conference (undergraduate, postgraduate (master) and PhD students).
However, at least one author of each paper must pay for the regular registration, regardless of student status.

How to register:

  1. Complete and submit the registration form via the   >> "Indico event management system" << .
    • At least one author of each paper needs to pay for a REGULAR registration, regardless of student status.
  2. Once the form is submitted, Indico will direct you to our payment partner "VR Payment" by clicking on the checkout button. Please note that submission of the registration form will generate a "confirmation email" by Indico, but your registration will not be complete on our end until the registration fee is paid.
  3. Please pay the corresponding registration fee on VR Payment via credit card (VISA, MASTERCARD or AMEX only). A link to this payment portal is also part of the confirmation email received in Step 2.
  4. You will receive a payment confirmation by email via the Indico system together with the confirmation that your registration is completed. Official invoices will be provided only on-site at the registration desk.


Extra ticket for accompanying person

It is possible to buy additional tickets (upon availability) at a price of 90 EUR each for the conference dinner (July 13, 2023). Additional tickets can be bought as part of your registration or on-site.


Registration fees can only be paid by credit card (VISA, MASTERCARD or AMEX only).
An invoice will be provided only on-site at the registration desk (and will not be sent by email) when the payment has been received by the Organizing Committee.

Cancellation Policy

All cancellations must be in writing by sending email to the Organizing Committee and are subject to the following conditions:

  • Until June 10, 2023, 23:59 CET: 50% refund.
  • After June 10, 2023, 23:59 CET: NO refund.

In case of cancellation, refund (if any) will be processed after ICALP 2023.

Force Majeure

If for reasons beyond the control of the Organizing Committee the ICALP 2023 conference is cancelled, the registration fee might be partially refunded (after expenses incurred by ICALP 2023 have been deduced).

ICALP code of conduct

ICALP is committed to be a respectful forum for its participants, free from any discrimination or harassment of any nature, particularly when abuse of power is involved. All ICALP attendees are expected to behave accordingly.

If you experience or witness discrimination, harassment or other unethical behavior at the conference, we encourage you to seek advice and remedy through one or more of the following options:

  • Consult with the SafeToC counsellors of ICALP (listed below).
  • Report to the conference chair, the PC chairs or the Steering Committee chair. The chairs are entitled to remove registered participants from the conference (without refunding the conference fees) if they are deemed to pose an ethical risk to other participants.
